Who is responsible
EUDACE d.o.o., Dunajska cesta 159, 1000 Ljubljana, Slovenia (VAT ID SI11420421) operates Funding Bridge and is the controller of the personal data described here. Contact us with the Ask our team button in your account, or through the form on the Talk to an expert page.
What we collect
Account: your work email, a protected form of your password (we never see the password itself), your organisation profile (name, country, type, size, areas of interest, funding preferences, and optionally website and VAT number), and the date, time and version of the terms you accepted.
Projects and applications: everything you enter about your projects (descriptions, budget, duration, partners, consortium countries and regions, links, answers to our questions, project structure), the calls you select, assessments and scores, and the texts of your application sections with their earlier versions.
Messages: what you and our team write to each other in Messages, with the time each message was sent and read. When there is a new message, we send you an email notice with a link; the email does not contain the message itself.
Technical records: the IP address and time of requests, used to protect sign-in and forms against abuse, and records of emails we send you and whether they were delivered.
Partner profile and application details: if you fill them in, what your organisation does, its skills and the roles it takes in projects, and the details of your organisation that the European Commission asks for in Part A of an application.
Information from public sources: if you give the website of your organisation, we read its home page to suggest your areas of interest and, when you ask for it, your partner profile. To suggest partners, and to describe your organisation's experience if you confirm that a record is yours, we use public data about past EU projects from CORDIS (source: European Union, licence CC BY 4.0).
Request to join an organisation: if the organisation you entered already has an account, you can ask its owner to let you join the team, or our team can send that request on your behalf, based on the details you entered. The owner and the admins of that organisation then see your name and email address and decide whether to accept. If they decline, you are told only that the request was not approved. You continue with your own organisation.
Joining and organisation check: when you join, you give your email address, your organisation's website and a short description of your project. After you confirm your email address, we read the home page of that website, and an AI model finds your organisation's name, country, type and VAT number there and writes three versions of your project description; the model receives the domain of your email address, never the address itself. We then compare the name, country, type, VAT number and website with the EU VAT register (VIES), the register of organisations taking part in EU programmes on the European Commission's Funding & Tenders Portal, and the domain of your account email address, and an AI review decides whether your organisation can be confirmed. We keep what was found, what was checked and the result with your account. Our team looks at a case only when two accounts claim the same organisation.
Talk to an expert: the details you enter in that form.
Feedback: what you write with the Give feedback button, the page you sent it from and, if you add one, a screenshot. An AI model checks whether the feedback qualifies for credit; it receives your text, the page and earlier feedback from your organisation, never the screenshot. Our team reads all feedback and uses it to improve the service. Feedback is deleted with your account.
Buying credit: the details for the invoice that you enter when you order (official name, address, country, VAT number if you have one, and the email address for the invoice), the package, the amounts, the way of payment and the state of the order. We check the VAT number in the EU VAT register (VIES) to work out the VAT and keep the result with the order. For a card payment, the payment provider Stripe collects your card details on its own page; we never see or store them. We only receive the confirmation that the payment was made and its reference.
Why we use it and on what legal basis
To provide the service you signed up for: your account, finding calls that match your projects, assessments, and help with writing your application. The legal basis is the contract between you and the operator (the terms of use).
To help you when you ask for support, and to prevent misuse and keep the service secure. The legal basis is the legitimate interest of the operator in a reliable and secure service.
Only if you choose it, when you create your account or later in your profile: to email you about calls that match your profile. If you also make your partner profile visible and keep partnership alerts on, these emails also tell you about new projects that look for the roles you take. The legal basis is your consent. It is not needed to use the service, and you can withdraw it at any time with the link in every email or in your profile.
To show your project or partner profile to other users, only when you choose it (see Who can see your projects). The legal basis is your consent, which you can withdraw at any time by closing the listing or hiding your profile.
Only if you agree: to contact you by email or phone with an offer to help you prepare an application for a project that looks promising. The legal basis is your consent. It is optional, it is not needed to use the service, and you can withdraw it at any time in your profile.
To process your purchase of credit: to work out the VAT, take the payment, add the credit and issue the invoice. The legal basis is the contract between you and the operator (the terms of use) and, for keeping the invoice and its data, the operator's legal obligation to keep accounting records.
To answer your enquiry to an expert. The legal basis is our legitimate interest in answering it and, where you ask for it, steps before a contract.
To count page views and clicks on buttons without identifying you, so that we can see which parts of Funding Bridge are used and make it simpler. The legal basis is our legitimate interest in improving the service. You can opt out with Reject all in Cookie settings (see Cookies and visit measurement).
Only if you accept cookies: to measure visits with Google Analytics and to remember which link brought you to the site. The legal basis is your consent, which you can withdraw at any time with Cookie settings (see Cookies and visit measurement).
Who can see your projects
Named members of the operator's team open the content of your account, including your projects, application texts and assessments, only when you ask us for help, when you have agreed that we may offer you help, or when we must investigate a concrete sign of misuse or a fault in your account.
Team access is read-only: the team cannot change your projects or texts through it. Every time a team member opens the content of your account, we record who opened it, when and why. These records are kept for as long as your account exists. Your credit history shows the names of the projects credit was used for; the team sees these names when it handles your credit and invoices.
The operator also works as a consultancy. It never uses the content of your account for that work: not to find, contact or advise your clients, your partners or other organisations named in your projects, and not to prepare applications for anyone else.
If you have agreed to be contacted, the team may look at your projects to decide whether to offer you help with an application, and may contact you, and only you, with that offer. Without that consent, we do not contact you with offers.
Messages you send under Messages are read by the team running Funding Bridge so that it can answer you.
People you invite to a project see that project, its assessments and application texts, with the rights you give them. They do not see your other projects.
If you open a project for partnership, all signed-in users see its title, the short public description you write for this purpose, the roles and areas you are looking for, the countries you prefer, the chosen call, the search deadline and the name, country and type of your organisation. The full project description, budget, application texts, members and email addresses stay private. The project leaves the list when your search deadline passes or the application is submitted.
If you make your partner profile visible, other users can find your organisation as a possible partner. Your email address is not shown.
When you ask to join a project, its owner and managers see your name, your message, the role you offer, your partner profile and the name, country, type, website and areas of your organisation. Your email address is not shown to them.
Apart from this, other users cannot see your projects. We do not sell your data or your project information.
Artificial intelligence
Call matching, assessments, scoring, checks, the assistant, the chat with AI and draft texts for your projects and applications are produced with Claude AI models, which we run on Google Cloud (Vertex AI) in its European Union region. Google acts as our processor. This includes the nightly matching of your projects with new calls, which runs on our server, and the three versions of your project description we write when you join (from the short project description you give and the home page of your website). For these tasks we send the model the project and organisation information needed for the task and the text of the call. We do not send your account email address or the contact details you enter in Part A. Texts you write yourself, such as the project description, your answers and the sections of your application, are sent as you wrote them, so names of people in them are sent too. Uploaded files are not sent to the model.
Google processes this data in the European Union and, under its terms for Vertex AI, does not use it to train AI models. When the model researches the market for your project, it can search the public web; the search words it writes are sent to a web search service, which may process them outside the European Union. If Google cannot be reached, the task fails; we do not send your project to another provider instead.
Tasks about your organisation and possible partners use the same models directly from their maker, Anthropic, through its interface for businesses (the Claude API), whose commercial terms forbid training its models on the data we send; for customers in the European Economic Area, the contracting entity is Anthropic Ireland, Limited. These tasks are: the check of your organisation (official name, country, type, VAT number, PIC, website, the domain of your email address and the results of the register checks), suggestions of your areas of interest from your website, your partner profile (from your website, past EU projects in CORDIS, your areas of interest and any instructions you write for it), and finding the public contact address of a possible partner. Anthropic may process this data outside the European Union; the transfer is covered by the safeguards required by EU data protection law, such as the standard contractual clauses.
AI results are suggestions, and you decide what you submit. Whether your organisation is confirmed is decided by an AI review (see Joining and organisation check above). Limits in the service are set by fixed rules, not by the model.
Other service providers
Besides the AI providers named above (Google Cloud and Anthropic), we use service providers for hosting (servers in the European Union), email delivery, reading the home page of your website for suggestions, and protection of forms against automated programs (Cloudflare Turnstile). They process data only on our behalf and under our instructions. A current list is available on request.
When you pay for credit by card, Stripe processes the payment as an independent payment provider under its own privacy notice. Stripe receives the email address for the invoice, the package and the amount, and the number of the order. To issue the invoice, a member of our team enters the details for the invoice into our accounting system.
How long we keep it
Your account, profile, projects, assessments, application texts and messages are kept until you delete your account. You can do this yourself at any time under Profile, Delete my account; all of it is deleted at once. We keep only a record of warnings or suspensions of the account, with its email address, to prevent misuse; a record that your organisation has received starting credit, so that it is not given twice; and anonymous counts of usage.
The exception is purchases of credit: the order, its amounts and the details for the invoice are accounting records. They are kept for the periods the law sets for accounting documents, also after you delete your account.
Server logs are kept for up to 30 days. Backup copies are kept for up to 30 days and then deleted; our cloud storage provider keeps deleted copies in its recycle bin for up to 93 more days, after which they are gone.
Enquiries to an expert are kept for as long as needed to answer them and for the usual limitation periods afterwards.
When you delete your account, we keep an irreversible fingerprint of your email address and of the domain of your website, so that a new account does not get the website research again for the same address or website. The fingerprint cannot be turned back into the address.
Your rights
You can ask for access to your data, correction, deletion, restriction or a copy, and you can object to processing based on legitimate interest or withdraw your consent at any time, by contacting the operator with the Ask our team button in your account, or through the form on the Talk to an expert page. You can also complain to your national data protection authority.
Changes
If we change this notice in a way that matters for you, we will ask you to read and accept it the next time you sign in.
